1. Event Objective ○ Define the purpose and goals of the event. 2. Budget Planning ○ Detail the budget for all aspects, including venue, catering, entertainment, transportation, etc. 3. Event Date and Time ○ Confirm the date and time of the event with the resort Venue Preparation 1. Venue Confirmation ○ Finalize booking details and agreements with the resort. 2. Layout and Seating Arrangements ○ Plan the event layout, including seating, stage setup, and activity areas. 3. Decorations ○ Choose and arrange decorations in line with the event theme. 4. Equipment and Rentals ○ Arrange for additional equipment like AV, lighting, and furniture. ○ Projector Use: If you would like to use the resort’s projector (available for a fee of ₱1,500 for 5 hours), please bring your own operator. If you need our assistance in providing an operator, kindly let us know at least one week in advance. The operator service is charged at a rate of ₱100 per hour. ○ Music and Sound System: We recommend that you bring your own music and test the sound system a few hours before your event starts. This will help ensure everything is functioning properly and allow time for any necessary adjustments. ○ Laptop Needs: If you need a laptop for your event, please bring your own, as we do not provide laptops. Check the compatibility of your cords and sound system a few hours before your event starts. Catering and Menu Planning 1. Menu Selection ○ Choose and confirm the menu with the resort. 2. Dietary Restrictions ○ Gather and inform the catering team of any dietary needs. 3. Beverage Arrangements ○ Select beverages and arrange bartending if needed. Invitations and Communication 1. Guest List ○ Compile a comprehensive guest list. ○ Guest List and Access: Provide the front desk with a list of guest names. Alternatively, use invitations as proof of entrance. Wristbands may be requested from the resort for ₱5 each to facilitate entry. |

Entertainment and Activities 1. Entertainment Booking ○ Arrange for entertainment such as bands, DJs, or speakers. 2. Activity Planning ○ Organize any additional activities or games to keep guests engaged. Staffing and Support 1. Event Staff ○ Hire or coordinate with the resort for staff needs. 2. Coordination with Resort Staff ○ Keep open communication with resort staff for smooth event execution. Health and Safety 1. Health Protocols ○ Implement necessary health and safety measures. 2. Emergency Plan ○ Prepare for unforeseen circumstances. Final Preparations 1. Event Schedule ○ Create a detailed schedule for the event day. 2. Rehearsal ○ Conduct a rehearsal if needed. 3. Final Walkthrough ○ Do a final check with resort management. Day of the Event 1. Setup ○ Arrive early to oversee venue setup. 2. Coordination ○ Communicate with teams to manage any last-minute issues. 3. Guest Reception ○ Greet and direct guests upon arrival. |
